COPAA is seeking proposals for presentation at the Virtual Summit in 2021. This year the 23rd annual event will be virtual, estimate dates of March 3rd - 7th, 2021. We are seeking 60 and 120 minute sessions. Interested applicants must review the requirements below for proposal content and format BELOW prior to clicking on REGISTER to submit. Please follow full directions and include all information requested, including attachment of a single word document and completing the online form.

Call for Presentations Proposal:

 COPAA’s 2021 Virtual Summit 

Estimated Dates of: March 3rd - 7th, 2021

The education component of the Virtual Summit will require presenters to confirm when submitting the proposal that they are comfortable presenting this this virtual format. Training(s) will be provided on how to use the software we will, and participation is required for all presenters.This will be done well in advance of the sessions and event(s). All sessions with have a COPAA staff member or representative helping monitor the session and software platform, and to provide technical support in each session and event.

All training sessions should focus on excellence in advocacy and strategy to successfully protect and enforce the civil and legal rights of students with disabilities and their families. The committee has interest in sessions that demonstrate the success of the full spectrum of tools and processes available under the law. All relevant topics that are submitted correctly are considered. 

This year there is a particular interest in sessions that discuss/address (but not limited to):

·         Post-pandemic: Reevaluations and Compensatory Education

·         Psychological impact of the pandemic on children

·         Present levels of performance: how to measure, how to determine loss/progress after closures

·         Related services: how to make a case for increased related services after closure

·         School resource officers in schools: what has or needs to change?

·         Systemic racism in testing; identification and impact on discipline in schools

·         Trauma related to school closures

·         Overcoming school refusal 

·         Protecting children’s rights during investigations at school – what is permitted by schools and how to protect the child from self-incrimination

·         Effective legal writing for administrative hearings and Federal court

·         Representing the economically disadvantaged client

·         English Language Learners –  Advocating information useful for children and families  when  English is their second language

·         Trauma-informed practices in educational settings

·         Rights under Section 504

·         Utilizing Section 1983 in IDEA, ADA, and 504

·         Beginner level sessions for parents on effective advocacy strategies

·         The needs of the twice exceptional learner

·         Applying the Endrew F. Decision in advocacy

·         Transition

·         Disproportionality -  Identification / Advocating for Equity

·         Ethics for Attorneys and Ethics for Advocates

·         Topics for advanced attorneys and advocates/related professionals

·         And/ or sessions that demonstrate a combination of these factors

·         Unique sessions offering entertainment such as; live streaming music, performance art and/or dance, demonstrations, etc. related to mission of COPAA.  

Audience: Attendees include attorneys, advocates, parents, students, and related educational professionals. The knowledge level of attendees varies widely. The RFP review sub-committee (representative of member types) makes selections to ensure the conference sessions offer a range of topics and depth of information for options suited for all attendees. Accordingly, proposals should be developed, and clearly identified for the target audience and the length of the training. 

PLEASE NOTE: Proposals must be received on or before midnight Eastern Time on August 25, 2020. Don't wait until the last minute! You must be logged into your COPAA profile or guest, in order to submit and things happen that may require assistance.

Content of Proposals Must Include the Following:

1. Title of Presentation: 140 Characters Maximum.

2. Contact Information for Each Presenter: Organization, Title, Address, City, State, Zip, Phone number, E-mail,(Lead presenter first, then if applicable Co-Presenter 1, Co-presenter 2, etc.).

3. Brief Session Description: for the registration brochure (approximately 40-60 words). It should accurately reflect the content of the white paper and ppt. that will be presented.

4. Detailed Session Description: for CLE approval (approx. 300 words).

5. Outline: with session details.

6. Intended Audience: Proposals should identify who the presentation is geared towards and identified as such.

    a) Audience Category: Attorney, Advocate, Related Professional, Parent or Mixed Audience (identify applicable categories).

    b) Audience Level of Expertise: Novice, Intermediate, or Advanced or a Combination (identify which levels). Note: Please be sure to choose the level that is an accurate representation. We received feedback in evaluations that some session's content and level advertise did not accurately match the presentation.  Please note any prerequisite skills or prior knowledge of subject matter that is required.  

7. Length of Session:  60 minutes or 2 hour; choose one.

            a) 60 Minute sessions: most likely lectures style for 45 minutes and 15 minutes for Q&A using chat box or unmuted for live engagement depending on session.

            b) 2 Hour sessions: to include at least one 15 minute break and audience engagement is highly recommended to build into the presentation. Some examples available: interactive polling questions, live Q&A, virtual breakout discussions, “meet the speaker room” discussions after the session, quizzes, checkpoints, pre-reading, pre-event gatherings, etc.

8. Presenter's Biography: 1-2 paragraphs for each presenter to be used in program materials, if selected.

9. Copy of lead presenter and co-presenter's (if applicable) current resume(s) (include in the Word document with proposal information and is included in the 15 page maximum). Only one single document can be uploaded. 

Selection of Proposals and Development of Program:

Selections of proposals will be made by COPAA's Conference Sub-Committee based on quality of written submission, topic, and only those that are completed in entirety and submitted by Tuesday, August  25, 2020 deadline will be considered. 

Dates and times: currently March 3rd – 7th 2021 with exact final schedule to be determined when presentations selection is finalized.

Please note:  No single person has authority to assure acceptance of a proposal prior to the committee's review of the submission. As a condition of acceptance, presenters may be asked to develop a longer or more detailed outline on or before a specified date.

Receipt of proposals will be acknowledged via email, if you don't receive an email receipt the proposal submission was not completed.

Decision Letters will be e-mailed by the end of September.

Registration and attendance to COPAA educational events is NOT open to anyone who is not a member of COPAA OR does not meet eligibility. Any individual who currently receives more than 50% of his/her income from a state education agency, a local education agency, or, in the case of an attorney, who has represented such an agency or school district within the past five years, shall not be permitted to register or attend a COPAA educational event unless a formal exception is granted by the Executive Director of COPAA. Click here for more information regarding membership, guest membership and for the full eligibility policy.

Commitment Requirement:

All speakers agree to provide All materials for your session(s) by date provided in the acceptance letter. That will include White papers, Power Point presentation, and any additional supporting materials. Typically, they are due in mid-January. All documents submitted for attendees must be in an accessible format, and COPAA will provide instructions for this. Failure to provide materials within the deadline could result in cancellation of the presentation and/or will be considered in reviewing proposals for future COPAA conferences.

Presenters must attend training on the software platform. There will be several dates and times to choose from. Based on the session, it may also require pre-recording of sessions and/or a rehearsal time schedule.  

COPAA Staff or a COPAA representation will be present during each session to help facilitate the presentation, support the presenters and provide technical assistance.

Presenter's must have access to reliable internet and high quality camera for video recording and or streaming. 

COPAA appreciates the knowledge and expertise of our members and our colleagues. You wiliness to share those with the COPAA community is so important for the greater good. We understand this will be a little different but by March 2021, we feel many of you will have attended and presented in this new virtual world and those experiences will bring value to COPAA 2021 Virtual Summit.

Financial Arrangements:

The conference registration fee will be waived for selected presenters of training sessions.
